F2 · Send & track signatures
The agency side of signing. Add the parties, the system gives each one a private link, chases the ones who are slow, and starts the stamping clock the moment the last signature lands.
1 The document
2 Parties — in signing order
Signing order matters: the landlord signs first, then the tenant, then the negotiator countersigns. In production each link is single-use and tied to the recipient’s mobile number.
3 Status board
| Party | Role | Link | Status | Signed at |

Stamping clock (LHDN)
A tenancy agreement must be stamped within 30 days from the last signature. The clock starts by itself — nobody has to remember.
Package & delivery
When complete, the system files one package for the deal: the signed document, the completion certificate with audit trail, and (for a tenancy) the stamp certificate once paid.
- Soft copy sent to every party by WhatsApp and email
- Client can download or print it any time — no hardcopy needed
- Agency keeps the archive copy with the audit log
Reminders and escalation
| When | Channel | Sent to |
|---|---|---|
| Day 1 | WhatsApp + email | The party who has not signed |
| Day 3 | WhatsApp + email | Same party |
| Day 7 | SMS + call task | The negotiator |
| Day 14 | Alert | Agency Head |
Reminders stop the moment the party signs. Every send is written to the access log, so nobody has to argue about who was chased.
Completion certificate — goes to every party
- Owner — WhatsApp + email copy
- Tenant — WhatsApp + email copy
- Negotiator — Copy for the agent file
- Agency archive — Locked, with the SHA-256 fingerprint
The certificate shows who signed, when, from which device, and the fingerprint of the final PDF — so a dispute is settled by a document, not a memory.
Client without WhatsApp or a phone? Paper intake
- Print the pack from this screen (page numbers and initials boxes are printed for you).
- The client signs with a pen; every page is photographed, including the initials.
- Upload the photos here — the system checks the page count before accepting.
- Two people from the agency verify and mark it: paper, verified by name and date.
- The audit log records the paper route, so the file is never a gap in the chain.
