F2 · Send & track signatures

The agency side of signing. Add the parties, the system gives each one a private link, chases the ones who are slow, and starts the stamping clock the moment the last signature lands.

PHASE 2 DEMO · SAMPLE DATA
Engine note: this demo generates its own links so the flow can be approved before we pay for anything. When the SigningCloud account is ready, the same buttons create real envelopes and the legally recognised signature & certificate come from that engine — the screens do not change.

Signing order matters: the landlord signs first, then the tenant, then the negotiator countersigns. In production each link is single-use and tied to the recipient’s mobile number.

Stamping clock (LHDN)

A tenancy agreement must be stamped within 30 days from the last signature. The clock starts by itself — nobody has to remember.

Waiting for all parties to sign…

Package & delivery

When complete, the system files one package for the deal: the signed document, the completion certificate with audit trail, and (for a tenancy) the stamp certificate once paid.

  • Soft copy sent to every party by WhatsApp and email
  • Client can download or print it any time — no hardcopy needed
  • Agency keeps the archive copy with the audit log

Reminders and escalation

WhenChannelSent to
Day 1WhatsApp + emailThe party who has not signed
Day 3WhatsApp + emailSame party
Day 7SMS + call taskThe negotiator
Day 14AlertAgency Head

Reminders stop the moment the party signs. Every send is written to the access log, so nobody has to argue about who was chased.

Completion certificate — goes to every party

  • Owner — WhatsApp + email copy
  • Tenant — WhatsApp + email copy
  • Negotiator — Copy for the agent file
  • Agency archive — Locked, with the SHA-256 fingerprint

The certificate shows who signed, when, from which device, and the fingerprint of the final PDF — so a dispute is settled by a document, not a memory.

Client without WhatsApp or a phone? Paper intake

  1. Print the pack from this screen (page numbers and initials boxes are printed for you).
  2. The client signs with a pen; every page is photographed, including the initials.
  3. Upload the photos here — the system checks the page count before accepting.
  4. Two people from the agency verify and mark it: paper, verified by name and date.
  5. The audit log records the paper route, so the file is never a gap in the chain.

When a delivery fails

WhatsApp rejected or the number is not on WhatsApp → the link is marked not delivered and the negotiator gets a task.
Email bounced → try the second contact on the party record.
Fifteen days with no delivery → the document is flagged at the Agency Head level.
